Who we are

We are a family-owned heating and air conditioning contractor serving Poway and San Diego County. This policy explains what information we collect from you, why we collect it, and what we do with it. It applies to gvkhvac.com, to the phone number listed above, and to any text message conversation you have with us.

Information we collect

Information you give us

When you request an estimate through our website, we ask for your name, phone number, email address, and service address, along with the kind of help you need, the type of system you have, how soon you need us, and anything you choose to tell us about the problem. We collect this because we cannot quote or schedule work without it.

Saved alongside that request are the time it arrived, the IP address it came from, and the browser your device reported. We keep those three because they are how we tell a real customer from the automated submissions this form receives every day, and how we investigate if something goes wrong with a request.

Telephone calls

Calls to our business number may be answered by an AI receptionist. When it does, the call is recorded and transcribed, and we keep the recording, the transcript, and a short summary so that we have an accurate record of what you asked for. The receptionist tells you this at the start of the call, before you say anything.

If you would rather not be recorded, say so and we will call you back and speak with you ourselves. Calls handled by a person are not recorded.

Text messages

If you text our business number, we receive your phone number and the contents of your message. We use this only to answer you and to arrange the work you asked about.

Information collected automatically

Like most websites, ours records basic technical information about your visit: the pages you viewed, the site or search that brought you here, your approximate city, and the type of device and browser you used. We use Google Analytics and Yandex Metrica for this. These tools set cookies and may record how you moved through the page. We use it to understand which parts of the site are useful and which are not. We do not use it to identify you personally.

The map on our website

Our service area map is embedded from Google Maps. When it loads, Google receives your IP address and may set its own cookies, on Google's terms rather than ours. If you would rather that did not happen, blocking third-party cookies in your browser will stop it, and the rest of the page will work normally.

• To keep a service history for your equipment, which helps us diagnose faster next time

Text messages and your consent

When you give us your phone number, whether through the form on this site, by texting us, or by telling a technician, you agree that we may text you about your job. That means confirming an appointment, reminding you of one, letting you know a technician is on the way, answering a question you sent us, or sending a quote or an invoice.

We do not send marketing or promotional texts. No offers, no newsletters, no campaigns. Consent to receive texts is not a condition of buying anything from us, and refusing costs you nothing but a phone call instead.

How we share information

We do not sell your personal information. We share it only where it is needed to do the work or run the business:

• Service and scheduling software. We use Jobber to manage quotes, jobs, invoices, and customer messages, and its AI receptionist to answer calls.
• Phone and messaging providers. The carriers that place our calls and deliver our text messages necessarily handle your number in order to connect them. They act on our instructions and for no other purpose.
• Payment. If you pay by card, the card details go straight to the processor handling the transaction. We never see or store your full card number.
• Website analytics and the map. Google and Yandex receive the technical visit information described above, and Google additionally receives your IP address when the embedded map loads.
• Suppliers and manufacturers. When a warranty claim or a parts order requires it, we share what that claim needs and nothing more.
• When the law requires it. In response to a lawful request, or to protect our rights, our staff, or the public.

How we store and protect your information

Your information is held in business systems that require a password to reach, transmitted over encrypted connections, and available only to the people who need it to do their job. Our website sends form submissions over HTTPS and stores them on a server we control.

No system is perfectly secure, and we will not pretend otherwise. We keep what we need for as long as we need it: service records for the life of the customer relationship and as long as licensing, tax, and warranty obligations require, and website analytics for a limited period after your visit.

Your choices

• Text messages. Reply STOP to any message.
• Phone calls. Tell us to take you off our call list and we will.
• Website analytics. You can block analytics cookies in your browser settings or use a browser extension that blocks them.
• Your records. Contact us to ask what we hold about you, to correct it, or to ask us to delete it.

California privacy rights

If you live in California, you may ask us what personal information we have collected about you, where it came from, what we use it for, and who we shared it with. You may ask us to delete it or correct it. You may ask us not to sell or share it, though we do not sell or share personal information for advertising in the first place.

Children

Our services are sold to adults. We do not knowingly collect information from anyone under 13. If you believe a child has given us information, contact us and we will remove it.
